Technology Changes Overview for Managers

Ohio State Managers - today, I use:Tomorrow, I will use:
  • eLeave
  • eTravel
  • eRequest

  • Workday on my computer
  • Workday mobile app

Hiring, Onboarding, Offboarding and Other Employee Actions

  • In the future, all these actions will be done in Workday after logging in with your Ohio State name.# and authenticating through BuckeyePass. 
  • I am quickly able to view the people that I supervise.
  • Instead of initiating an HR Action or sending an email, I can initiate transactions for my staff in Workday, such as shift changes, location changes, working hour changes. HR will review before taking effect.
  • I can view job related data for my staff, including resignation information.
  • I can initiate the creation of job postings.
  • In Workday, I can track the real time status of candidates for my job openings from time of initial screening to background check completion to hiring to onboarding.
  • My new staff have a common start date schedule – every other Monday at the start of a biweekly pay period.
  • I can validate the probationary period when hiring a Classified Civil Service employee. I have the ability to initiate editing and extending probation dates when appropriate.
  • I can review upcoming end dates for temporary and term employees and will partner with HR to update/change/extend and/or end employment of the temporary/term employee.
  • When one of my employees departs, I use the standardized off-boarding checklist.
  • If I’m out of the office for a short period of time, I can delegate my tasks to keep processing moving.

Approvals

  • I can enter and correct employee time in Workday, increasing efficiency and consistency for accurate timekeeping.
  • I receive a notification when my staff members submit a request for travel (known as a spend authorization).
  • I approve requests for staff leave and vacation in Workday.
  • I approve expense reports if they differ by 20% or more from the original spend authorization.

Report Access

  • I have access to real-time dashboards, audit reports, calendars, and other tools that provide insight and support decision-making regarding managing my employees.

  • I can track the real time status of candidates for my job openings from time of initial screening to background check completion to hiring to onboarding.

High Level Change Journey

January - April 2020

Managers:

  • Receive emails with details and short video clips detailing changes coming with Workday
  • Attend a "Demo Days” session where they see first-hand some of the new system features
  • Access on-demand training videos, job aids, and FAQs prior to go-live; they receive several communications from their Change Coordinators on what to expect on Day 1
April - December 2020

Managers:

  • See "Workday Wins” ads around the university and the medical center
  • Click links shared in onCampus Today and watch a video on changes to expenses, vacation requests, and how to view one's payslip; there is excitement because these videos can be viewed on a phone
  • Ensure their teams are completing any required Workday training so that they are prepared and feel ready; managers have been informed so that they can answer staff questions on what to expect on Day 1
Go-Live! and beyond

Managers:

  • Feel ready to use the system and help their staff do the same; while they might not know how to do everything in Workday, they know where to go for help
  • Continue to have access to on-demand training materials, after go-live, for reference when they have questions; as Workday is updated, they receive an email when the updates affect them
